By default, Ocerra aims to extract all line items from an invoice. In some cases, this isn’t necessary and you may prefer to post the invoice as a single summary line.


The Clean button lets you quickly collapse all extracted lines into one.

When to use this

  • You don’t need line-level detail in your accounting system

  • The invoice has many lines but is posted as a single expense

  • You want to simplify coding and approvals

  • There is no clear table with line-items on the invoice layout

How the Clean button works

  • Removes all extracted invoice lines

  • Creates one single line

  • If a total or net amount is available on the invoice, Ocerra will automatically populate the line amount

  • If the total is not available (for example, on truncated pages), you’ll need to enter the amount manually to balance the invoice

  • If the total is available, you can pick it with value-based annotation.

Steps

  1. Open the invoice

  2. Click Clean

  3. Confirm the action in the pop-up

  4. (Optional) Click Annotate if you want Ocerra to apply this behaviour automatically for similar invoices in the future

  5. Wait for the annotation process to complete

Notes

  • Annotation trains Ocerra to summarise lines for similar invoices going forward

  • If totals are not visible on the document, Ocerra cannot calculate the amount automatically

  • You can still edit the single line after cleaning if required
