Ocerra supports configurable, sequential approval workflows designed to match your business rules. Workflows can be set up based on:
- Supplier rules - automatically route invoices to designated approvers based on supplier rules.
- Invoice value thresholds - define approval levels depending on the invoice amount.
- User limits - set approval limits per user; if an invoice exceeds their limit, it is automatically routed for additional approval.
- Manual assignment – invoices can be assigned to one or multiple approvers by an authorised user (usually an AP team).
Additional features include:
- Custom statuses to reflect your internal processes.
- PO invoice auto-approval when invoice details match the purchase order.
- Email notifications to alert approvers of pending invoices.
- Purchase Order approvals, now available for managing POs directly in Ocerra.
Visibility & Control for Accounts Payable Teams
For accounts payable teams, Ocerra ensures full visibility and control. You can see at a glance which invoices are pending, who is responsible for approving them, and where bottlenecks are. This removes the need to manually chase approvers. A complete audit trail is also maintained, recording who approved each invoice, when, and any comments added during the process.
Approvals on the Go
Approvals can be completed on mobile devices. While Ocerra does not have a dedicated mobile app, approvers can log in via their phone browser, save their credentials, and review or approve invoices securely when away from the office.
Getting Started
When you start with Ocerra, we configure a standard workflow (usually one or two levels) to get you started and provide training materials and videos so your team can adopt the process quickly. Workflows can then be expanded or updated as your requirements evolve.
